Bookings that import themselves,
optimised routes
and the day's schedule ready.
BookGest imports the requests that arrive by email, groups the compatible services and solves each multi-stop group from the inside: it orders the stops by real travel time, with a traffic forecast, and returns the calculated pickup times. Review and assignment stay with the operation.
30 days trial · no card · start the same day
From the request to closing the group.
Six steps over the same record. The booking that comes in is the one that gets grouped, scheduled, shown on the driver's phone and billed.
Arrives by email, by file, through the AI Importer or by hand. Each service is a transfer, a tour or a delivery, with the fields its type calls for.
Compatible services form arrival, departure or interzone groups, auto-grouped or by hand, and each group's route is ordered by the engine.
Each group gets a driver and vehicle, or a supplier, within the availability shifts defined.
Schedule and name board PDFs, emailed to drivers (or sent through the App) and to suppliers, with every send tracked.
Desk or Driver App check-in, no-shows and closing the group, with vehicle position on the fleet map.
Settlement by client and by period, with the group cost on the other side of the ledger.
Automatic, intelligent optimisation.
Grouping puts compatible services into arrival, departure or interzone groups, and fills the driver and vehicle shifts. Routing solves each multi-stop group from the inside: it orders the stops by real travel time, with a traffic forecast for the hour the service actually runs. Assigning the group to a resource is done by the operation.
- Automatic grouping of compatible services, by arrival, departure and interzone
- Each multi-stop group routed by real travel time, with a traffic forecast
- Pickup times calculated backwards from the drop-off time
- Availability shifts filled automatically, with overlap warnings

What goes into each route.
The order of the stops does not come from a straight line between addresses. The engine resolves the operation's constraints before proposing the group.
Distance and duration between each pair of stops, with the traffic forecast for the hour the service actually runs.
Passengers, luggage and wheelchair spaces. A group does not close above what the vehicle carries.
A direct transfer does not make a shuttle's stops. The limit set on the service constrains the order of the group.
Each driver and vehicle pair has its own windows, by date and by region, with automatic filling.
The same pair in two groups that cross in time is flagged on the schedule, before anything goes out on the road.
On arrivals the route starts at the terminal; on departures the pickup times run backwards from the drop-off time.
The proposed route is editable: stops are reordered by hand and a pickup time can be forced when the operation requires it.
Bookings created from the mailbox, unattended.
The email account the requests arrive at is connected once and stays connected: the messages appear inside the platform, sorted by status and by operator. From the regular senders the request becomes a booking on its own. The rest stays in the inbox, for an operator or for the AI Importer.
- The bookings email account is connected once and stays integrated
- Per-sender reading rules, for the requests that always arrive the same way
- Per-operator file importers, in CSV, XLSX or XML
- Whatever goes unrecognised waits in the inbox, and is not lost
Reads the request in whatever shape it arrived and proposes the booking.
Every operator writes their own way: some send the flight and the time, some a hotel address, some three services in one email. The AI Importer interprets the text as it came and proposes the booking mapped to the system's clients, places and prices.
The proposal is shown for confirmation, service by service, before anything is saved as a booking.
Eight areas over the same data.
Transfers, tours and deliveries, each type with its own fields. A status per service and the history of every transition.
Availability shifts, grouping, optimised routes and assignment to an in-house resource or a supplier.
The day's arrivals, flight status and desk check-in, with aliases for flights that change code.
Items with a price table per client, costs per supplier, promotions and multi-currency conversion.
The person meeting the flight is not the person driving.
For operations with a desk or a team at the airport, meeting passengers stops being the driver's job. The terminal team follows the day's arrivals, checks in whoever has landed and sends them to the right group; the driver picks up a closed group and keeps the whole time for the road. It is a module for a large operation, which is why it only comes with Premium.
- The day's arrivals by flight, with the status current without anyone looking it up
- Check-in done at the terminal, with the no-show recorded on the service
- The driver stops doing the welcome and gets the waiting time back
- Aliases for flights that change code between operators
The schedule on the driver's phone.
The driver opens the app to the day's groups with the route already ordered, stop by stop. They start the service, check the passengers in, mark the ones who did not show and close the group. The office follows it as it happens.
- Installs from the browser, no app store
- The driver's position can feed the fleet map
- Closing the group is what billing finds
Where the saving is.
Typing bookings in by hand costs roughly one person for every hundred that come in, and the transcription errors only surface on the day of the service. What arrives by email, by file or through the AI Importer goes in on its own.
Building the day's groups and spreading them over drivers and vehicles takes a person the best part of a day. The engine returns the groups and each one's route in minutes; what is left for the operation is reviewing and confirming.
Ordering a multi-stop group by real travel time, with a traffic forecast, cuts the kilometres it takes to do the same work. Less fuel on the cost side, and room on the margin.
These are orders of magnitude for a transfer operation, not a promise of results: what each operation saves depends on its volume, its region and how it works today.
It is a platform, not a program you install.
Runs in the browser, on any machine in the office or at the desk.
99.95 % uptime, measured over the previous year.
New features arrive at no extra cost and with no service interruption.
Bookings, schedules and costs come out as a spreadsheet or as a file for another system, at any time.
Frequently asked questions.
Does automatic scheduling replace the operator's decision?
No. The system proposes the groups and the order of the stops; assignment and confirmation stay with the operation. Any stop can be reordered by hand and any pickup time can be forced.
Does the current system have to be replaced straight away?
No. The trial runs alongside whatever is already in place: load a real day of services, follow it through to closing the groups, and compare.
What comes in without anyone typing it?
The booking requests: through the email account, through the file importers for the operators you work with, and through the AI Importer. Fuel and toll files too. Master data such as clients, places and items is set up once on the platform and then serves every booking.
Does it suit an operation that subcontracts most services?
Yes. A group can be assigned to a supplier instead of an in-house driver, and the supplier's cost is recorded on the group, beside what was charged to the client.
Is it only for transfers?
No. A service is one of three types: transfer, tour or delivery. Tours carry an itinerary with timed stops, languages and availability by weekday; deliveries have their own delivery date and time. All three are grouped, scheduled and billed the same way.
What about operations with no airport work?
The airport is a module, not the platform. An interzone group uses no flight at all, and bookings, scheduling and billing work exactly the same way.
Does the platform issue invoices?
No. It settles what there is to bill, by client and by period, with the costs on the other side, and exports it to the company's own invoicing program.
